Saturday, August 20 Wedding at Loews Hotel. Sound Sensation provided sound for the ceremony and entertainment for the reception at the historic Loews Hotel on Market Street in Center City Philadelphia. Pre-function was in the foyer, then guests came to the ballroom for the actual ceremony. After the ceremony, guest went back to the foyer while the room was changed over for the reception. The couple chose Vince Caligiuri as the MC and Frank Raffa as their music mixer. A slide show featuring the couple was shown during dinner. Sound Sensation also provided the screen and the projector.

Outdoor Weddings

Outdoor weddings can be picture perfect, but to really host the ceremony and reception you've been dreaming about, there are some details that should not be overlooked.

Some of the biggest changes I have noticed over my long career as a wedding entertainer, are that more and more couples are getting married at the chosen venue, and many of them opt to have both the ceremony and reception outdoors.

Who can blame them? The Philadelphia area is abundant with natural beauty. There are arboretums, parks, and historic sites that are all very appealing. Choosing any of these sites can result in some great pictures and create a more relaxed feel for your event. Not to mention, doing everything in one location saves the hassle of having to rush from the ceremony site, to another site to have pictures taken, then finally to yet another venue for the reception, where chances are, you missed part of the cocktail hour.

The first thing to consider is the setting for your outdoor ceremony. Your chosen venue might have a beautiful garden, with gazebo, or wedding arch where you will exchange your vows, but how does it sound? Occasionally, I've seen ceremony locations that are right beside a busy road. And by busy, I mean tractor trailers, and beeping cars going by. The last thing you want to hear is an air horn at the moment you say "I do". Ceremony sites that are in an air traffic corridor should also be avoided. Airplane noise at the wrong moment can delay your ceremony for a couple of minutes as the plane goes by.

How do you avoid these potential distractions? My advice is to go the site at about the time your wedding will be taking place and just listen. (make sure you are not interrupting someone else's wedding) Do you hear birds chirping, or do you hear something similar to the grand prix going by? Another test would be to have someone stand a good distance from where the vows are happening and see if they can hear you talking.

If you think it will be difficult for your guests to hear, plan on having a PA system set up on the day of the wedding. Sometimes even with a good PA system, you will still deal with some background noise, but the amplification will help guests hear what's going on. If you are not sure where to get a PA, ask your DJ. Our company often provides music and sound for outdoor ceremonies. If you hired live musicians for the ceremony music, we can also provide microphones and amplification for them.

There are also some things to think about with regard to the reception. Having a plan B in case of bad weather is essential. Does the venue offer some indoor space as a backup in case you get rained out? If you are hosting your reception in a tent, have you planned for extremes in temperature? Don't forget that you may have some older guests who can't tolerate excessive heat. Also, if it's too hot, guests might be less likely to dance and end up leaving early. And, speaking of dancing, does your tent have a dance-floor? Grassy areas and high heels don't mix very well.

There are portable heating and cooling systems for outdoor tents. Of course, your tent will need to have some outer walls for these systems to work effectively. You can also get a portable dance-floor, which is well worth the expense if you expect to dance the night away. Check with your venue or tent vendor for availability.

Another important detail for outdoor weddings is proper lighting. If everything is happening in daylight hours, you may be just fine. However, most outdoor weddings start out in daylight but end at night. If your reception is in a tent, make sure that not only the interior of the tent has some lighting, but walkways to and from as well.

The interior lighting should be dim able, or you should at least be able to turn off some of the lights. Why? One reason is to set the proper mood. You might want the lights a little dimmer during dinner and even dimmer still once the dancing starts. Another reason to be able to reduce the house lighting is to get the proper effect from dance floor lighting, up-lighting, or monogram projection, that your entertainer or outside lighting company is providing. If you are paying for these services, which can really enhance the look and feel of your tent or other outdoor space, you want to get you money's worth.

I could go on and on with planning tips for outdoor events, but I'll address one last subject; the proper position of your entertainment. As a disc jockey, I can tell you that the best events are the ones where I can interact with the guests. If I can take requests, and see what's happening on the dance-floor, I am much more effective. On occasion, we have been placed on a deck, a patio, or in a room far from the action. The best place for your DJ or band to be is right in front of the dance-floor with their backs facing the wall. The guests will have access to us, we can read the crowd much better, and provide a much more effective experience.
